Nobody Reads Your Emails
Open rates for transactional emails in estate agency sit between 20% and 30%. That means for every ten viewing confirmation emails you send, seven or eight are never opened. The tenant does not see the time. They do not see the address. They show up whenever they feel like it, or more commonly, they do not show up at all.
Then you stand outside the property for 15 minutes waiting before marking them as a no-show and driving to the next one.
This is not a hypothesis. Ask any negotiator how many no-shows they had last week. The answer will be between two and five. At 30 minutes wasted per no-show (including travel), that is an hour to two and a half hours of dead time every week.
WhatsApp Changes the Open Rate
WhatsApp messages have an open rate above 90% within three minutes of delivery. Three minutes. Not three hours. Not "when they check their inbox on their laptop later." Within three minutes.
The reason is simple. People check WhatsApp constantly. It is the primary communication tool for most UK residents under 45. Email is where they receive newsletters, promotional offers, and spam. WhatsApp is where they communicate.
When you send viewing details via WhatsApp, the applicant reads them immediately, responds immediately, and shows up because they have a direct, active conversation thread reminding them of the commitment.
The Technical Integration
Autoprop connects to the WhatsApp Business API, which is the official, Meta-approved channel for business-to-customer messaging. This is not someone sitting in the office typing messages on a personal WhatsApp account. The API integration means:
- Messages are sent automatically by the system based on triggers (new enquiry, viewing confirmed, reminder due, reference requested)
- Responses are processed automatically by the AI, which continues the conversation without human intervention
- All messages are logged and stored against the relevant contact and property record in the CRM
- Media can be sent including property photos, Google Maps pinned locations, and PDF documents (such as tenancy agreements or referencing links)
Practical Use Cases
Viewing Confirmations
When a viewing is booked, the applicant receives a WhatsApp message with the property address, the date and time, the negotiator's name, and a Google Maps link. The applicant can simply tap the link and navigate directly to the property. Compare that to an email with a postcode buried in the third paragraph.
Viewing Reminders
24 hours before the viewing, the applicant gets a reminder message. If they can no longer make it, they can reply directly and the AI will propose alternative times. This happens automatically and reduces no-show rates significantly.
Tenant Access Coordination
For occupied properties, the AI sends a separate message to the current tenant informing them of the upcoming viewing, confirming the date and time, and asking them to ensure the property is accessible. This removes one of the most awkward and time-consuming tasks from the negotiator's day.
Reference Requests
Once a tenancy offer is accepted, Autoprop sends the successful applicant a WhatsApp message with a link to complete their referencing application. Because it arrives on WhatsApp rather than email, the completion rate is substantially higher and the turnaround time from offer to reference completion drops from days to hours.
Rent Reminders
Monthly rent reminders sent via WhatsApp have dramatically better engagement than email reminders. A friendly message two days before rent is due, followed by a polite follow-up if payment is not received by the due date, keeps arrears rates lower without requiring manual chasing from the property manager.
Record Keeping and Legal Protection
Every WhatsApp conversation processed through Autoprop is permanently stored and linked to the relevant tenancy record. This matters for two specific reasons under the 2026 regulatory framework:
- Section 8 evidence: Possession claims require documented evidence of communication. An automated, timestamped WhatsApp trail showing that the tenant was warned about a breach, given reasonable time to rectify it, and failed to respond is far stronger evidence than a negotiator's verbal recollection.
- Deposit disputes: Check-in communications, move-in instructions, and inventory acknowledgements sent via WhatsApp create a clear, time-stamped record that both parties can reference in the event of a dispute.
Moving from Email to WhatsApp
You do not need to stop sending emails entirely. Legal documents, formal notices, and statements should still be sent via email (and in some cases by post) for regulatory compliance. But for day-to-day operational communication with applicants and tenants, WhatsApp is the channel that gets read, gets responded to, and gets results.
The transition is straightforward. Autoprop handles the routing automatically based on what type of communication is being sent and what contact details are available for the recipient.
